Welcome to Archive Manager

Quest® Archive Manager is an archiving and management solution that enables e-mail and file data to become a true asset for the organization by capturing, indexing, and storing it for mailbox management, compliance, and knowledge sharing.

The following is a list of issues addressed and enhancements implemented in this release of Archive Manager.

General

CR 1925 The new Federated Search features have been refined to eliminate problems with incomplete and inconsistent search results.
CR 1970 Upgrading from an earlier version no longer breaks seamless messages.
CR 1979 Inconsistencies in the date format within search results have been eliminated.
CR 18487 Space characters that occurred within the RSS URL have been replaced with "%20" to prevent line breaks when the link is copied to emails or other media.
CR 19475 A Configuration Editor program crash that occurred in a particular program context has been fixed.

Processing exclusion rules now properly saves an XML copy of the message in the exclusion folder.
CR 21104 The hyperlink properties of HTML links in RTF and text mail items, which sometimes did not work after using the "Send to Me" feature, have been restored.
CR 37077 Date-filtered searches for attachments now return results that are correctly filtered by date.
CR 37286 Correction of an HTML coding error has eliminated the problem of some HTML message bodies appearing blank in Internet Explorer.
CR 37503 Processing exclusion rules now properly saves an XML copy of the message in the exclusion folder.
CR 37568 A delete policy on "Deleted Items" now correctly deletes the items. (In prior releases, the items were not deleted unless the same policy was applied to Inbox.)
CR 38476 Timeouts that occurred in the Retention engine process when trying to delete items older than two months have been eliminated.
CR 39330 Exclusion rules now permit a single wildcard "*" character in the To or From field.
CR 42923 The Archive Manager Full Text Index Service now more aggressively retries reconnection with the SQL Server database when a connection is lost.
CR 44334 Legitimate zero-byte attachments are no longer omitted by the Outlook form.
CR 44391 The Retention Policy Editor now supports IIS servers running only SSL/HTTPS.
CR 44808 Code refinements have removed the "mixed content" error message when using the web UI to forward or reply to a message by updating the web control.
CR 46710 The Active Directory Connector no longer misidentifies msExchPrivateMDBPolicy as an msExchPrivateMDB, which thereby eliminates the associated processing errors.
CR 47327 GroupWise messages that are stamped with checksum and resent by the senders are now archived to the correct users.
CR 47353 Archive Manager now processes Read Receipts from older Outlook clients (97-2002).
CR 48447 Archive Manager now supports text-string searches and indexing of Outlook 2007 file attachments. See the corresponding item under New in this Release above for implementation details.
CR 48762 Duplicate attachment filenames are now properly differentiated in the attachment store by incrementing filenames and by file types, eliminating the inadvertent retrieval of wrong attachments, and assuring the launch of the correct application for each attachment file type.
CR 48888 Occasional errors in attachment retrievals via the web UI are resolved by adherence to Archive Manager System Requirements, now updated in these Release Notes, and in the Quick-Start Guide, Install Guide for Exchange and Install Guide for GroupWise.
CR 49649 A website "index outside the bounds" error that had occurred when trying to display a folder containing a particular message has been eliminated.
CR 49762 Re-sent Exchange items are now properly archived.
CR 50904 Issues with threading under load have been resolved.
CR 50992 A "Delete Item" button has been added to the Configuration Editor.
CR 51191 To avoid caching old data, which in turn causes unexpected behavior in the Archive Retrieve Configuration Editor, change a setting in Internet Explorer (while logged into the BES system as the same user as the "service account" user):
  • Tools | Internet Options | Browsing History | Settings | Check for newer versions of stored pages: "Update Always"

Data Loader

CR 1921 The DataLoader Service now correctly closes handles when finished, fixing the memory leak in previous versions of Archive Manager.
CR 29483 Problems in setting up message policies and data loaders for complex environments have been resolved.
CR 38474 Occasional DataLoader failures on GroupWise XML files with base-64 encoded message attachments have been eliminated.
CR 38762 DataLoader errors when envelope journaling was enabled in Exchange are eliminated by not transacting the processing of recipients for existing messages produced with envelope journaling.
CR 45011 DataLoader errors that occurred with some XML files when exporting compliance copies of messages with embedded message attachments have been eliminated.
CR 48239 DataLoader errors that occurred when processing some XML files with non-standard characters have been eliminated.

Exchange Store Manager

CR 1922 The ESM Service now correctly closes handles when finished, fixing the memory leak in previous versions of Archive Manager.
CR 35655 The ESM no longer repeatedly reports information on corrupt Office documents every time it runs.
CR 39468 XML files generated for delivery reports are now generated correctly.
CR 40338 The Exchange Store Manager no longer unduly burdens the Exchange server or inflates the Exchange Transaction Log.
CR 46555 The remote ESM config file setting to change the log file directory now works as it should.
CR 47959 Running the DataLoader at least once before running the ESM eliminates a problem where messages were doubled up and not stripped when a remote ESM was in a different timezone from the DataLoader.
CR 49445 The Stub Display Message configuration item is now properly honored by the ESM.
CR 51070 Daylight savings time adjustments for time zones in the southern hemisphere are now applied correctly, so the ESM now properly updates folders in user mailboxes.

GroupWise

CR 23324 Shared folders in GroupWise no longer cause the GSM to hang.
CR 40210 The GroupWise Store Manager no longer generates errors when processing large XML files.
CR 47354 "Access denied" error messages in the GroupWise Directory Connector are resolved by keeping the NetWare session open between runs.
CR 48889 The GroupWise Directory Connector no longer mistakenly creates a second mailbox in Archive Manager when a new GroupWise user account is associated with an existing orphan mailbox.
CR 49045 The GroupWise Directory Connector now correctly updates the UID in the database, so users can send email from the Archive Manager website.
CR 50756 See "Archiving Shared Folders in GroupWise" in New in this Release above.

Offline Client

CR 1901 The Offline Client no longer hangs when presented with specific message types. The webservice has been modified to (by default) still send all three body types (HTML, RTF, text), but in the case of the Offline Client, and any new development using MessageRetrieveWithOptions or MessageRetrieveSingleBody, will return only the body type of the original message as designated in the BodyType property.
CR 39069 Occasional webservices (application pool) errors that occurred under load when the Offline Client was synchronizing have been eliminated.
CR 48992 Offline Client sync times have been reduced.

PST Importer

CR 22844 The PST Importer Installer now creates a shortcut for the PST Importer. The shortcut had been inadvertently omitted in the previous release.
CR 39559 PST Importer errors that occurred when the option to delete imported items was enabled have been eliminated.
CR 47275 The PST Importer now supports Outlook 2007.

Search Exporter

CR 30502 When trying to export e-mail, the Search Exporter might submit the following error: "Ticks must be between DateTime.MinValue.Ticks and DateTime.MaxValue.Ticks." The workaround for the issue is:
  • Install .NET Framework 2.0 and force the export utility to run under .NET Framework 2.0 by placing the config file named "ArchiveManagerEmailExport.exe.config" into the same folder where the export utility module "ArchiveManagerEmailExport.exe" is located.

CR 30798 The export processes for MIME and HTML formats have been improved to properly export attachments.
CR 50461 Office attachments to items exported to a PST file are now retained as they should be.

Documentation Issues

CR 18222
CR 18223
The problem of GroupWise folders named "Sent Items" or "Trash" or "Deleted Items" appearing as system folders in Archive Manager can be eliminated by observing a caution documented in the Archive Manager User Guide (in chapter 4, under "About Standard Mailboxes," first bullet point in pushpin note):
  • When using a MailBox, be aware of the following:
    • For Archive Manager to process the subfolders correctly, make sure their names do not coincide with the system folder names in Exchange or GroupWise. (e.g. Creating "Sent items", "Deleted Items" or "Trash" subfolders under Oulook Inbox/ GroupWise Cabinet might result in issues with folder display in Archive Manager).
CR 37502 An out-of-date download link for NDAP Controls has been removed from the System Requirements that occur in the Quick-Start Guide, Installation Guide for GroupWise, and in these Release Notes. The updated link no longer appears in the documentation because it points to the most recent version of the NDAP Controls, and we cannot certify that all future new versions will be supported for use with Archive Manager.
CR 39322 Two documentation errors in the User Guide, regarding search syntax (in chapter 2), have been corrected.
CR 41360 The Administration Guide and corresponding on-line Help system no longer mistakenly document a procedure for deleting a mail server — which is not a valid Archive Manager feature.
CR 42326 The Installation Checklists for Exchange and GroupWise now caution:
  • If you do not want Archive Manager to begin an export of all users immediately upon installation, be sure to disable store management at the server and user levels before starting the services for the first time.
CR 42477 Installer errors that occurred when the ArchiveMgr_ESM account resided in the parent domain have been eliminated by creating the ArchiveMgr_ESM account in the child domain instead. The System Requirements and Installation Guide now require that the ArchiveMgr_ESM account be created in the child domain.
CR 42837 The Administration Guide now correctly notes that wildcard characters are permitted within exclusion rules. See, in the "Exclusion Rules" chapter, the pushpin note in step 1 of "Add an Exclusion Rule."
CR 47429 Typos in the Installation Checklist for Exchange have been corrected.
CR 47494 The Installation Guides for both Exchange and GroupWise, and the Release Notes, now contain complete instructions for how to upgrade Archive Manager from an earlier version.
CR 48888 Occasional errors in attachment retrievals via the web UI are resolved by adherence to Archive Manager System Requirements, now updated in these Release Notes, and in the Quick-Start Guide, Install Guide for Exchange and Install Guide for GroupWise.


Known Issues

The following is a list of issues known to exist at the time of this Archive Manager 4.0 release:

General

CR 31832 When a message contains embedded images, the files that contain those images are hidden from Outlook, but not from the Archive Manager website. A user sees attachments in the Archive Manager website that they do not normally see in Outlook.
CR 32006 Archive Manager Services should be stopped prior to upgrade. This has the potential to reduce upgrade times.
CR 35828 When a strip policy is applied to a user mailbox and a message is modified after Export to Archive Manager but before it is stripped, data may be lost when the message is stripped, as the stubbing shell may be linked to the original message.
CR 47334 Embedded javascript in some messages causes a redirect when the URL doesn't match the expected URL, so the message cannot be opened in the Archive Manager UI — although it does open in Outlook.
CR 48446 When applying a Strip Policy with the "Delete Message Shells" option, this actually applies a delete policy. It applies to all messages of the specified age, whether or not they are stubbed.

Installation for Systems with Tivoli Attachment Store

CR 51365 When installing Archive Manager to a system with a Tivoli Attachment Store:
  1. Verify that all System Requirements are satisfied.
  2. Run installer.exe, rather than the .msi file, to install Archive Manager.
The .msi installation process in this release has been found to generate an error in the Tivoli store setup, but the installer.exe utility will accomplish the installation as long as you have verified that all System Requirements are satisfied.
      If upgrading from an earlier Archive Manager release, simply follow the documented Upgrade Procedure, which calls for using the installer.exe instead of the .msi installer.

Data Loader

CR 48703 Program Event logs fail to note an error if an invalid User ID is entered for the MAPI Data Loader, even though the Data Loader run is interrupted.

Search Exporter

CR 47352 Performance enhancements to the Archive Manager Search Exporter remain under development.

Web Client

CR 30532 By default, on a clean installation, the user won't be able to browse for contacts unless they have been assigned the "Person Search" security attribute. However, if an upgrade has been done, users will already have this attribute.

GroupWise

CR 49921

If your environment does not permit anonymous bin8:49 AM 3/6/2008d to authenticate with eDirectory, a third authentication parameter is required in addition to the NDS User and NDS Password parameters. Use the Config Editor to add the NDS User LDAP Name parameter.

The format of the NDS User LDAP Name could be a Distinguished Name (e.g., cn=user,ou=organizationalunit,o=context), or an NDS Full Name (NDS:\\TreeName\Context\ObjectName), depending upon the implementation of eDirectory.

Outlook Form

CR 32504 When reconstructing a stripped message with Archive Manager Outlook form, users may see: "This item contains active content that cannot be displayed in the Reading Pane. Open the item to read its contents." Follow the instructions to see the message. The workaround for the issue is:
  • For Outlook 2003 and earlier: Set "Disable Preview Pane" to FALSE using the Archive Manager configuration editor.
  • For Outlook 2007: Install the HotFix: office-kb939596-fullfile-x86-glb.exe
... and set "Disable Preview Pane" to FALSE using the Archive Manager configuration editor. For either Outlook version, any messages already stripped must be reconstructed and stripped again in order to see the change.
CR 31690 Archive Manager Outlook Form might reconstruct original messages incorrectly if they have images in the body.
CR 41186 Please use the Archive Manager web interface to view attachments whose total path length when downloaded to disk exceeds 264 characters.
CR 35703 Archive Manager Outlook form cannot reconstruct messages (i.e. neither body nor attachments are returned) if a message has a zero byte attachment that is in the database more than once. You can open these types of messages using the Archive Manager Web Interface.
CR 41249 The Archive Manager Outlook form cannot determine when a stubbed message has been deleted by a retention policy, so will display a "Message not found" error message.

Upgrade Process

CR 50519 The upgrade process does not recognize prior installations of the PST Importer, Search Exporter, and Retention Policy Editor components of Archive Manager. You must manually uninstall these components before performing an upgrade. A step for this has been added to the Summary of Upgrade Procedure below.

Offline Client

  • If you enable automatic switching to Cached mode via Group Policy, you cannot turn off Cached mode using the policy. Users will have to turn off Cached mode manually.
  • The Save as option in Microsoft Outlook does not work properly for attached .msg files in Archive Manager shortcut messages.
  • After you turn off Cached mode, Outlook links to items located in the offline copy of the archive do not work.
  • If you are using Microsoft Outlook XP, the number of messages that can be synchronized per each cached folder is limited to 16,000.
  • If you upgrade any version of Microsoft Outlook, Archive Manager Client toolbars will not be displayed in the new Outlook version. To resolve the issue, reinstall the Archive Manager Client component.
  • If Microsoft Outlook is not a default e-mail client, the Change Offline Storage Path Wizard may not work.
  • It is recommended that Outlook 2007 users disable cache mode prior to changing their PST storage path.
  • The Switch to Cached mode automatically group policy applies to all MAPI profiles of the user.
  • The Switch to Cached mode automatically group policy is applied only at Microsoft Outlook startup. If the archive is unavailable, the user will be automatically switched to Cached mode only when Outlook is restarted.
  • Please make sure the correct URL  is provided in the group policy. An incorrect URL can cause the Offline Client to become unresponsive.
  • In Microsoft Outlook XP, formatting in archived HTML messages may not be displayed correctly in the Archive Manager Find preview pane.
  • Importance and sensitivity settings for the messages located in the offline copy of the archive is displayed incorrectly.
  • Messages with attachments size more than 50MB may not be available in the offline copy of the archive.
  • Although the offline copy of the archive is read-only, it is possible to do the following in Microsoft Outlook XP:
    • create folders under the Archive Manager node
    • move root folders located under the Archive Manager node
    It is not recommended to do either of these actions.
  • If you forward shortcut messages, these shortcut messages may in fact be forwarded instead of the original items.
  • The Sent date may not be displayed correctly in the offline copy of the archive.
  • All messages copied to the offline version of the archive are marked as read.
  • If you move messages or delete messages and folders in the online archive, these changes are not reflected in the offline copy of the archive.
  • If you rename a folder in your mailbox, the corresponding archive folder in the offline copy of the archive will not be renamed. A folder with the new name will appear in the offline copy of the archive, but you need to make the folder available offline manually.
  • When you switch to Cached mode, temporary archive folders may appear in the offline copy of the archive, and they will not be removed later.
  • If you select a message located in the offline copy of the archive and click Reply to All, then recipient of the original message will be listed in the To field.
  • If a user logs on to the mailbox of a different user, the offline copy of the archive is not available.
  • In Microsoft Outlook XP, if you select an HTML message located in the offline copy of the archive and click Reply or Reply to All, pictures in the message body may not be displayed.
  • In Microsoft Outlook XP, when you preview shortcut messages, the From field contains two copies of the recipient address.
  • Outlook folders containing slash (/) and backslash (\) characters are processed incorrectly. Both in online and offline versions of the archive you may get multiple folders instead of one containing any of these characters.
  • In the archive, attached items (Contact, Note, Task, Calendar and Journal items) are saved as attached e-mail messages, so some information may not be displayed.
  • If open a message in the offline copy of the archive and double-click sender name of recipient name, the Properties dialog will not be displayed.
  • When you access the archive using web interface for mobile devices, you cannot save search queries.
  • If you send an e-mail from Microsoft Word while Microsoft Outlook is not running, you will not be able to send another e-mail from Microsoft Word, and Microsoft Outlook will not start correctly until you close Microsoft Word.


System Requirements

Archive Manager 4.0


Messaging System Server Type and Version

Either:
  • Microsoft Exchange, version 2000 SP3, or 2003 SP1 or SP2, or 2007 SP1.
  • Novell GroupWise server, version 6.5.4 or 7.0, running on Novell Netware.
Important:
  • When using the MAPI data loader, the data loader service user account must have "Receive As" and "View Information Store Status" permissions to the mail store that contains the journal mailbox.
  • The ArchiveMgr_Journal account also must be configured for certain permissions, which can be easily accomplished by simply adding the account to the Archive Manager Exchange admin group.

Database Server

Either:
  • Microsoft SQL Server 2000 SP4.
  • Microsoft SQL Server 2005, Enterprise or Standard, SP1 or SP2.
Note: The Collation settings for the Database Server must be case insensitive.

Operating System for servers running Archive Manager

Microsoft Windows 2003 Server SP1 or SP2.

Prerequisites for all servers running Archive Manager Services

All of:
  • Microsoft .NET Framework 1.1 (SP1).
  • Microsoft .NET Framework 2.0, plus hotfix NDP20-KB918642-X86.exe, from MS KnowledgeBase article KB918642 (link current as of this release).
  • Microsoft Visual C++ Runtime (vcredist_x86_sp1.exe).
To enable text-string searches and indexing of file attachments: You must install IFilters for the file types you want to search and index:
  • Microsoft offers a pack of IFilters for its Office 2007 file types for free download (link current as of this release). This Filter Pack includes IFilters for the following formats: .docx, .docm, .pptx, .pptm, .xlsx, .xlsm, .xlsb, .zip, .one, .vdx, .vsd, .vss, .vst, .vdx, .vsx, and .vtx.
  • Adobe offers a free IFilter for its PDF file type (link current as of this release). Our testing found inconsistencies in searches facilitated by Adobe PDF IFilter versions 7 and 8, but the version 6 IFilter works for PDF 5, 6, 7 and 8 documents.
IFilters for earlier-version Office file extensions (.doc, .rtf, .xls, .ppt, etc.), and for .txt, .htm and .html files, are installed with Microsoft Windows, and so should already reside on the Archive Manager server. You can verify their installation, and track and manage your IFilters generally, using third-party IFilter browsers, available at little or no cost from independent vendors.

Additional prerequisites for servers running Archive Manager Exchange Store Manager

Both:
  • Either of:
    • Microsoft Exchange System Manager 2003 (Exchange 2000 or 2003).
    • Microsoft Exchange Server MAPI/CDO 1.2.1 (Exchange 2007).
  • SQL Native Client (sqlnci.msi).
In a parent/child domain configuration: If you are installing Archive Manager in the child domain, you must create two accounts. An Exchange Store Manager account must be created in the child domain for the Archive Manager installation, and another Exchange Store Manager account must be created in the parent domain.

Additional components required for Archive Manager with GroupWise Services

Both:
  • Novell ActiveX NDAP Controls, either of:
    • Novell-activex_ndap-devel-2007.07.16-1windows.exe.
    • Novell ActiveX NDAP Controls - 20051006.msi.
  • GroupWise 6.5.6 Update 2 (otherwise known as 6.5.7).

Attachment Store Types

Note: The Archive Manager Search Exporter requires the MAPI version installed with Outlook if users will export to PST format.

Global Operations

This section contains information about installing and operating this product outside of North America. This section does not replace the materials about supported platforms and configurations found elsewhere in the product documentation.

This release is Unicode-enabled and supports any character set. In this release, all product components should be configured to use the same or compatible character encodings and should be installed to use the same locale and regional options. This release is targeted to support operations in the following regions: North America, Western Europe and Latin America, Central and Eastern Europe.

This release has the following known capabilities or limitations: Tested against French OS, SQL and Exchange.

Summary of Upgrade Procedure

This section explains how to upgrade from Archive Manager 3.x, keeping all previous settings. If you need to change your existing Archive Manager configuration, complete the installation wizard as described in the Installation Guide for GroupWise or Exchange.

When moving from Archive Manager 3.x to Archive Manager 4.0, we strongly recommend a Full installation, since new options will not be available in an Upgrade installation.

Do not attempt to upgrade directly from Archive Manager for Exchange 2.x. Direct upgrades from that version are not supported.

We also strongly recommend that you add the ArchiveMgr_Service, ArchiveMgr_Journal, and ArchiveMgr_ESM accounts to the Performance Log Users and Performance Monitor Users groups on the Archive Manager server.

To upgrade from Archive Manager 3.x:

  1. Uninstall the PST Importer, Search Exporter, and Retention Policy Editor.
  2. Confirm that the items listed below have been installed on both the web server and the Archive Manager Services server (usually, but not always the same machine). If any of these items are not already installed, install them now:
  3. Stop all Archive Manager Services.
  4. Run the Archive Manager Installer (installer.exe), and follow the prompts through the completion of the installation.
  5. Confirm the success of the installation:
