The Virtual Compliance Officer (VCO) scans every message as it enters your archive. 

VCO is configured to perform a detailed visual inspection and then take the action specified by your company’s unique rules. Organizations of all sizes can help identify real risk by pulling matching emails to the top of the review queue and applying message scores to individual messages that match specific criteria.

  • Customizable Policies – Customize the solution to meet your needs with user-defined settings. Create rules based on virtually any criteria, including sender, recipient, subject, filename, attachment, attachment text, etc.
  • Automated Capabilities – Save your organization time and money by escalating emails, tagging and marking messages as reviewed or attorney-client privileged, or assigning labels or case tags.
  • Multiple Keyword Lists – Create group-specific policies based on keywords across every message field. Utilize multiple keyword lists to apply to different groups of employees within your organization. Keyword lists can be based on geography, employee job function, department, HR purposes and so on.
  • Message Risk Scores – Assign point scores (weightings) to messages based on the number and severity of discovered violations. Uncover problematic conversations through inspections of your highest risk scores.
  • Advanced Filters & Exclusions – Fuse the VCO to filter specific individuals, emails, or groups from searches, and exclude legal disclaimers or harmless language from keyword scans.
  • Prioritize Rules – Scan rules in a customizable order of priority. Users can drag-and-drop rules to increase or decrease the priority in an easy-to-use interface.
  • Powerful Monitoring – Monitor incoming or outgoing emails for specific content and attachment types, identify high-risk users and scrutinize “heightened supervision” employees.
  • Custom Email Notifications – Proactively deliver reminders and reports to administrators via email based on VCO activity and message criteria, such as keyword violations or highest-risk point. Configure the VCO to send scheduled analytics reports daily, weekly or monthly.
  • Save Inactive Rules – Save old, inactive rules in case they are needed in the future.
  • Search VCO Activity – All actions taken by the VCO are logged and audited in the Management Console and searchable for e-discovery or regulatory compliance.
