How to analyze forms usage in Migrator for Notes to SharePoint

Hi. My name is Randy Rempel, and I'm a senior product manager. Today, I'm going to demonstrate how to analyze forms usage in Migrator for Notes to SharePoint. Let's take a look at the forms data that was captured for one database. I've already run the documents scan on this database. Let's look at some high-level information. First, this database has almost 400,000 documents. This is too large for a single list in SharePoint. Perhaps I can consider storing some of the content in archive lists. I can discuss this with the application owner and the SharePoint architect. Perhaps there is a SharePoint governance document that can help guide me in making a recommendation. Second, I can see that this database has many response documents. So the type of application that I migrate to should be able to support a similar main topic response hierarchy. Third, almost all of the documents in the database have writer security. That is, each document limits who can edit the document. I need to implement something similar on the target application. At the very least, I need to review how document-level security can work with the application owner. Now we can see which forms are used the most in this application. This is important because we may see that some forms are duplicates or copies. Other forms may be used for dialog boxes. In this database, we can see three forms named Main Topic, four response forms, and two resource forms. There's a lookup form that probably stores option values for a drop-down keyword field. Now we can see which form is used the most. This database is probably a discussion type of application. There are many responses and main topics in this database. In addition, we can see that all of these documents were being accessed up until the very last day. Lastly, we see that none of the documents have attachments. This database could migrate over to a discussion list in SharePoint. We might have to consider archiving some of the older documents. I could contact the Notes developer or application owner to discuss what the forms with low document counts do. I might not need to migrate these forms and their documents to SharePoint. Now we can see the users who created documents in the database. Here, we can see which users created the most documents in the database. This can be valuable if you need to find out who owns the application. The top users of the database often know who owns the application. They also know more about what the application does. This database probably has thousands of users.
